PulseClose (“PulseClose,” “we,” “us”) is borrower-validation and underwriting software for professional lenders, operated by Wade Group LLC. This policy describes what we collect on this website (pulseclose.com) and in the PulseClose application (app.pulseclose.com), how we use it, and the choices you have. PulseClose is a business-to-business service; it is not directed at consumers.
What we collect
- Account information. Name, email address, organization name, and role, provided when you create an account or contact us.
- Customer-submitted deal data. Information your organization enters or uploads to run validations and underwriting — borrower and entity names, property addresses, loan terms, and supporting documents. Your organization controls this data and is responsible for having a lawful basis to submit it.
- Billing information. Payments are processed by Stripe. We do not store full card numbers; Stripe handles card data under its own privacy policy.
- Usage data. Log data, feature usage, and product analytics events (see Cookies and analytics below), plus per-check usage metering used for plan limits and billing.
How we use it
- To provide the service: running validations, sizing loans, generating reports and offer-letter drafts your organization requests.
- To operate accounts, billing, support, and service emails (transactional email is delivered via Resend; inbound report-tracking email is processed via Postmark).
- To secure and improve the product, including error tracking (Sentry) and aggregate usage analysis.
We do not sell personal information, and we do not use one customer’s deal data to serve another customer.
Third-party data sources
When your organization runs a validation, PulseClose queries third-party and public-record data providers on your behalf — Secretary of State registries, property and deed records, federal court dockets, state contractor licensing boards, and sanctions/watchlist data (including OpenSanctions and the U.S. Treasury OFAC SDN list). The names and identifiers you submit for a check are shared with the relevant provider to run that check. Results are returned on a best-effort basis from those sources; see the Terms of Service for accuracy disclaimers. PulseClose is not a consumer reporting agency, and its outputs are not consumer reports.
AI processing
Some features generate narrative analysis (risk memos, deal judgments, document extraction) using large language models provided by Anthropic. Three safeguards apply:
- Per-organization toggle. AI processing is controlled by an organization-level setting. If it is off, no data is sent to the AI provider — the setting fails closed.
- PII scrubbing. Text inputs are scrubbed of personal identifiers before AI calls, and memo generation uses token-based depersonalization so names are replaced with placeholders.
- Narrative only. AI output explains results; deterministic rules — not the AI — set risk tiers and loan sizes.
Service providers
We use a small set of infrastructure subprocessors to run the service: Supabase (database, authentication, and file storage), Vercel (application hosting), Stripe (billing), Resend and Postmark (email), Sentry (error tracking), Anthropic (AI processing, subject to the toggle above), and PostHog (product analytics). Each processes data only as needed to provide its function.
Cookies and analytics
The application uses cookies required for sign-in and session security. We use PostHog for product analytics — page and feature usage events tied to your account — to understand how the product is used and improve it. The marketing site is hosted on WordPress, which sets standard cookies for logged-in editors only; visitors browsing pulseclose.com do not need an account and are not asked to leave comments or upload media.
Data retention and deletion
Your organization owns its data. We retain account and deal data while your subscription is active so validations, audit history, and reports remain available to you. On request after account closure, we will delete your organization’s data, except records we must keep for legal, billing, or security purposes.
Security
Data is encrypted in transit, access is scoped per organization at the database layer (row-level security), and production access is limited. No system is perfectly secure; if we learn of a breach affecting your data, we will notify you as required by law.
Your rights
You may request access to, correction of, or deletion of your personal information by emailing hello@pulseclose.com. Depending on where you live, you may have additional rights under applicable privacy laws (including the CCPA for California residents); we will honor verified requests as the law requires. If your information was submitted to PulseClose by a lender using the service, we may direct your request to that lender, which controls the data.
Changes and contact
We will post any changes to this policy on this page and update the date above. Questions: hello@pulseclose.com.
